Frequently Asked Questions - Conference Organisers

We would like to organise our own conference through the SCIEMCEE system. What do we need to do?

  • Just send us an email or fill in the contact form, stating your interest in holding a conference. This query is non-binding. We will then contact you to fine-tune the details.

Can we request assistance when preparing a science conference?

  • Yes. Representatives of the SCIEMCEE system will help you set up a scientific committee for the conference, locate partners, set up the agenda and focus of the conference, etc. This is all done with a view to the individual needs of the specific applicant.

Is there a charge for organising the conference?

  • Yes. The fee for organising a science conference depends on the services the conference organiser requires from the SCIEMCEE system. For an institutional organiser, the cost generally ranges from EUR 800 to EUR 1,250. This is the final price and includes full personal assistance and support for the conference. The conference scientific committee merely decides on whether or not to accept applications from specific participants and also reviews the texts. There is no additional charge for all the related administration.

Can the operators of the SCIEMCEE system organise a tailor-made science conference for us?

  • Yes, of course. Just get in touch with us using the contact form and give us a general description of what you need. We will come up with a solution.

How time-consuming is it to prepare a science conference?

  • The time required always depends on the specific parameters of that particular conference. We generally recommend starting preparations at least 6 months before the planned start (date) of the conference. It takes around 1 month to prepare the invitations for the science conference, and then the following 5 months are spent fine-tuning the details and allowing conference participants to register.

Does the SCIEMCEE system allow conference proceedings to be published?

  • Yes, not only does the system prepare the conference proceedings, but it can also publish them with the standard formalities (ISBN, etc.).

What technical equipment do we need to hold a science conference?

  • The aim of these science conferences is primarily to present the results of science and research in text form, so no special technical equipment is required. In order to hold and participate in a virtual science conference you generally need a standard internet connection and a valid email account. If organisers are interested, the system allows a combination of text and images to be used. The technical requirements for the organiser and participants are then dealt with on an individual basis.

Does any software need to be installed to hold a conference?

  • No. No SCIEMCEE system software needs to be installed to hold and run a conference.

As future organisers we would like to have the conference proceedings indexed with a particular citation database. Is any assistance provided for this?

  • Yes, the SCIEMCEE system works with the science conference organiser to help transfer proceedings to the selected citation databases.

Are the results of science conferences (articles, conference progress reports, etc.) published anywhere else?

  • Yes, the SCIEMCEE system supports Open Access and Open Science, allowing the general scientific community and the lay public to peruse conference texts. The texts from science conferences are also available in the SCIEMCEE system conference library.

Do conference participants have to install special software to enter the online conference?

  • No. The software for participating in the online conference is a web application supported by common web browsers (IE, Mozilla Firefox, Google Chrome, etc.).

What is the structure of the software to run the online conference?

  • The online conference runs in the following software environments: 1. CentOS 64-bit (Community ENTerprise Operating System) - operating system is a free Linux distribution based on Red Hat Enterprise Linux, 2. Apache Tomcat - web server including a Java-based servlet container, 3. DB2 - relational database management system

What computer systems are the online conferences operated on?

  • Online conferences are operated on a VPS (Virtual Private Server) using Citrix XenServer visualization technology. VPS is configured for DELL M1000e Blade servers and DELL PowerVault MD3200i disk arrays.

Is the protection of personal information assured?

  • Yes, it is. All communication is encrypted with a high degree of security (128 bit key) via SSL (Secure Sockets Layer) certificate CA RapidSSL, GeoTrust, Inc.

What are the requirements for the PC of the online conference participant?

  • Minimum PC configuration for running online conferences: 32-bit or 64-bit processor running at 1GHz or higher, 1GB RAM (32-bit) or 2GB RAM (64-bit), 256MB of free hard disk space, Windows operating system (32 or 64 bit), access to the Internet
